Step 1 — Onboard

You log into your client hub, choose your design, and make a few brand decisions — colors, fonts, logo. You'll complete a short onboarding questionnaire and share any existing messaging documents before we meet.

Step 2 — Strategy session

We have a strategy session to dig into your programs, goals, and audience — because a conversation gets us better information than a form ever could. This is where we figure out exactly what your site needs to say.

Step 3 — We build

We write your copy, configure your CRM, build every page, set up your forms, and connect your automated emails. You'll get a short video walkthrough to review the site and confirm everything looks right.

Step 4 — Launch and training

We move the site to your domain, test every form, and do a live training session with your team. You walk away with your login, documentation, a site that works, and ongoing support if you need it.

I'm Caitlin Rice, founder of Rooted Impact. Before starting my business, I worked inside nonprofits as a digital communications manager — running websites, managing supporter databases, and handling digital programs for teams doing organizing and advocacy work.

Growing Roots is a fresh build, not a retrofit — but if you have an existing site, that's not a problem. We can migrate your content as part of the project. Site migrations are available as an add-on, and we'll talk through what's worth bringing over on your intro call.

Yes, for most clients. The four-week timeline is built around four stages: onboarding, strategy, build and review, and launch. Each stage takes about one week. The timeline holds as long as you schedule your strategy session within the first week, and submit your revision requests within seven days of receiving your site walkthrough. If life gets in the way and things shift on your end, the project gets rescheduled based on our availability at that point. We will always communicate openly about timing.

That's what we're here for. We write all your website copy as part of the project. You'll share some information about your programs and team — we handle the rest.

We set up the hard parts for you. You’ll learn just enough to stay in control without getting lost. We’ll guide you step-by-step so you feel confident making edits, adding new pages, and managing your content moving forward. You will not need to touch code. You will not accidentally break anything. If you choose a Care Plan, you will not manage plugins. 

After launch, you get a recorded training session and documentation built specifically for grassroots nonprofits. Updating a page, adding a news post, or swapping out an image takes a few clicks. If something technical needs attention down the road, we are here for you.

You do. The site is built on WordPress and lives on your domain — you own everything. At onboarding, you choose your path: continue with a Care Plan for hosting, maintenance, and ongoing support, or take full control and manage it on your own. We suggest continuing with a Care Plan that includes hosting and maintenance but you will be trained and supported on how to manage your plugin updates if you choose not to. 

WordPress. It's flexible, widely supported, and you own it completely — no proprietary platform, no vendor lock-in. If you ever need to work with another developer down the road, they'll know exactly how to pick up where we left off.

One honest note: third-party tools like CRM-hosted forms and donation widgets run on their own code that we don't control. We choose platforms with strong accessibility track records and flag any known issues, but we can't guarantee those tools meet WCAG standards. If your organization requires a formal accessibility audit or compliance certification, we're happy to refer you to a specialist.

A CRM (Customer Relationship Management system) is just a fancy term for the database where you keep track of your supporters — donors, volunteers, email subscribers, event attendees. It's how you know who gave, when they gave, and how to follow up. Most CRM options built for nonprofits are expensive, complicated, and more than a growing organization needs.

We've built Growing Roots around two platforms that are affordable, built for nonprofits, and integrate cleanly with WordPress — so your forms, your donor records, and your email follow-ups all work together without you having to stitch anything together yourself.
